About the Project

The Emory Gate Crossing + Coke Toast 2022 marked the start of the university journey for the Emory College Class of 2026. Students, faculty, staff, and alumni gathered to celebrate, culminating in a Coke Toast led by Emory President Gregory L. Fenves. This annual tradition had not been held during the pandemic, making it a highly anticipated event in 2022.

This project demonstrated our ability to handle complex outdoor events, ensuring high-quality audio and safety in an outdoor setting the size of three football fields accommodating 2,000+ people.

Venue for dinner and Coke Toast with double the expected attendance.

The Quad

Day 1: A full-day event requiring intelligible speech broadcast over a space the size of three football fields, accommodating over 2,000 people. Day 2: A half-day event with a speech from the Emory President, requiring complete overnight redeployment of cables and equipment.

An all-night event needing high-volume, low-distortion audio for several hundred attendees.

Challenges

We managed four different setups in outdoor spaces, each presenting unique audio requirements and challenges:

Venue-Specific Solutions

Student Center Field:

  • Adjusted sound system coverage to accommodate increased attendance without the need for additional equipment.

  • Used backup hard-wired and wireless microphones.

 

Pool Party DJ:

  • Provided a full suite of equipment and power supplies for a high-quality audio experience.

The Quad (Days 1 & 2):

  • Accommodated additional speeches and redundant microphone systems and managed cables efficiently.

  • Real-time audio equipment physical adjustments without causing any disruptions for optimal audience experience and speech intelligibility.

  • Ensured safe and effective cable management.

Solutions

Measuring the Venue

Without a reference of the field’s dimensions, we manually measured the space to calculate the necessary cable lengths for optimal audio quality.

Cable Management

  • Secured cables with lawn staples and marked tripping hazards with flags.

  • Ensured guest safety and reliable audio system performance in high-traffic areas.

Safety

Zero trip or fall incidents due to effective cable management.

Reliability

No client-facing technical difficulties across all four event setups.

Quality

Highly intelligible speeches with commendable audio quality.
